CEIDG and KRS: how to check and update company data

The address for correspondence, the subject of activity, and the persons authorized to represent the company may change during its operation. Checking the register is not limited to finding the company name. This guide helps compare data in CEIDG and KRS with the actual situation and plan updates.

CEIDG or KRS: where to check your company

CEIDG is a register of entrepreneurs who are natural persons. A limited liability company is listed in the KRS register of entrepreneurs. Before you start correcting the entry, determine the legal form and the appropriate register. A civil partnership requires additional attention: entries of entrepreneurs in CEIDG and data regarding the company are not the same document.

Check the name and identification data, the address for correspondence, places of business, contact details, and the description of activities. In KRS, also compare the method of representation and the persons authorized to act. Do not assume that every board member can independently sign any contract: the disclosed rules of representation and the content of the company's documents are significant.

How to compare the entry with documents

1. Download the current registration data from the official search engine and note the date of verification.
2. Compare the address for correspondence and places of business with the actually used addresses. Also verify the addresses provided in contracts, invoices, and forms.
3. Check the PKD codes, including the predominant activity. Note when the company started performing new activities and choose the code corresponding to their nature.
4. In the company, compare the composition of the bodies and the rules of representation with current resolutions and the company's articles of association.
5. Determine whether the same change requires additional notification in another register or office.

Deadlines and notification of changes

Biznes.gov.pl indicates that changes to many CEIDG data, including the address for correspondence, places of business, and PKD codes, must be reported within seven days of the change. However, not all information has the same deadline; some data, such as those concerning the succession manager, are subject to different rules. Changing data in CEIDG.

Changes to data in KRS are reported electronically in the manner appropriate for the company. It is necessary to distinguish between the entry in KRS and notifications of supplementary data and information about beneficial owners. Example: company changes address

The entrepreneur moved the office but still has access to the previous address. They should determine whether the address for correspondence, the permanent place of business, data in contracts, and the method of handling shipments have changed. Not every change of workplace means the same scope of updates, so the decision is made based on the actual state. It should not be assumed that one update will automatically change all documents and registers.

After submitting the application, keep the confirmation and check whether the appropriate register shows the expected data. If there is a discrepancy, clarify it with the appropriate office. In court correspondence, tax matters, or electronic deliveries, specific regulations and circumstances of delivery are significant; not every letter sent to the old address automatically has the same effect.

PKD 2025: check the transitional period

When updating codes, check which classification applies and whether it is necessary to rewrite the existing codes to PKD 2025.
