CPA firm looking for a full-time office manager/executive assistant for our NYC office. Responsibilities:
- Provide high-level administrative support to firm leadership, including managing calendars, scheduling meetings, coordinating travel, and preparing correspondence and documents.
- Oversee day-to-day office operations, such as managing office supplies, coordinating with vendors, maintaining office equipment, and ensuring a professional and organized workspace.
- Greet and assist visitors, handle incoming calls and inquiries, and support basic client service needs.
- May also assist with meeting logistics, document formatting, internal communications, and occasional special projects to support firm initiatives.
Qualifications:
- Strong communication skills, including clear written and verbal communication and the ability to interact professionally with internal and external stakeholders.
- Proficiency in administrative assistance and office administration, including calendar management, meeting coordination, document preparation, and record keeping.
- Experience with office equipment, such as printers, scanners, conference room technology, and basic troubleshooting of common office tools.
- Background in customer service, with a focus on responsiveness, professionalism, and building positive relationships with clients and visitors.
- Proficiency with common office software (e.g., Microsoft Office or Google Workspace) and ability to learn new systems quickly.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
- Demonstrated discretion in handling confidential information.
